How does a management transfer work?
Give notice to your existing agent
You terminate your existing management agreement, following their notice requirements. Unfortunately, we cannot end that contract on your behalf.
Sign up with The Online Letting Agents
Select your preferred management or rent collection service and provide us with the basic property details. The management transfer date will typically be scheduled for the day after your previous management ends.
We contact your outgoing agent
We will obtain as much information as possible from your outgoing agent. The deposit will to be transferred directly from their scheme to ours. Transfers to our part or full management services include a full appraisal of your current tenancy and tenancy documents to ensure compliance.
We introduce ourselves to your tenants
We explain the change in management, introduce them to their property manager, and provide the appropriate contact details and rent payment information.
We take over on the agreed date
Our service will start on the agreed date. With all of the leg-work having been completed in advance, this ensures a smooth transition between managing agents.
What do you need to do?
Just one important step cannot be done by us: you must give notice to your current agent and bring your existing management agreement to an end. Once that is arranged, we can take care of coordinating the practical handover. Your previous agent’s cooperation and any contractual notice period can affect the timetable.

What information will we need?
We will request relevant documents and information from your outgoing agent (or you, if you currently self manage). This may include:
- Tenancy agreements, notices and tenant contact information
- Rent amount, payment date and arrears information
- Deposit protection details
- Inventory & check-in report and inspection records
- Gas, electrical, energy performance certificates and other compliance information where applicable
- Maintenance history and outstanding repairs
- Keys and any other important tenancy records
We will review the documents supplied and flag matters that need attention. Any missing information or compliance issues may require further action.
Frequently asked questions
Can you give notice to my current managing agent?
No. You must give notice yourself in accordance with your current management contract. We can then liaise with the outgoing agent to arrange the practical handover.
Will my tenants have to move out or sign a new tenancy agreement?
Normally, no. Changing the managing agent does not, by itself, end the existing tenancy. We will review the tenancy documents and advise if anything further needs attention.
What happens to the tenant’s deposit?
We coordinate with the outgoing agent over the deposit and its protection arrangements. The appropriate transfer or re-protection process will depend on how the deposit is currently held, and the relevant scheme requirements must be followed.
What if I do not have all the tenancy paperwork?
That is not necessarily a problem. We request as much information as possible from the previous agent and identify any important missing records that need to be addressed.
Is there a charge to transfer?
There is no setup fee for our management takeover services. Your previous agent may have notice requirements or termination charges, and other services you request may incur additional fees.
Can I transfer a property I currently manage myself?
Yes. Our service is also suitable for landlords with tenants in place who want to move away from self-management.
